The party is over. The last guest left an hour ago. Your room is full of photos, messages, and reactions from the night. Now what?

Most of those memories end up scattered across group chats, camera rolls, and forgotten apps. Party Post's Event Recap feature makes sure that doesn't happen.

🎉 What Is an Event Recap?

An Event Recap is a personalized email sent to every participant after your event ends. It includes the best photos, key stats (like total photos shared and peak engagement times), and a custom thank-you message from the host.

Think of it as a highlight reel delivered straight to your guests' inboxes. Instead of asking "Can someone send me the photos from last night?" everyone gets the complete picture automatically.

🎉 How It Works

There are two ways recaps get sent:

Manual send (when you end the room): When you click "End Room" in Party Post, you'll see an option to send the recap immediately. Check the box, optionally add a thank-you message, and the recap is generated and emailed to every participant who has an email on file.

Automatic send: If you enable "Auto Send Recap" when creating or editing your room, Party Post will automatically generate and send the recap once the room is permanently closed. This is perfect for events with a set end time where you don't want to manually trigger anything.

Either way, the recap is powered by AI that analyzes the event data and creates a personalized narrative of what happened.

🎉 What's Inside a Recap Email

Every recap email includes:

  • 🎈A personalized greeting with the event name and host's thank-you message
  • 🎈Top photos from the event, curated by engagement (most reacted-to images)
  • 🎈Event statistics like total participants, messages sent, photos shared, and the peak activity hour
  • 🎈Quick links to view the full event recap page online with the complete photo gallery
  • 🎈Your branding if you've customized the room with a logo and colors

The email is designed to look great on both desktop and mobile. It uses your room's branding colors and logo if you've set them up, so it feels like an extension of the event experience rather than a generic notification.

🎉 The Recap Page

In addition to the email, every event gets a dedicated recap page at a unique URL. This page includes the full photo album (with lazy loading for large galleries), all the event stats, and the AI-generated narrative. Guests can view it, download photos, and relive the event at any time.

The recap page also includes Open Graph metadata, so when someone shares the link on social media or in a group chat, it shows a branded preview with the event name and a sample photo.

🎉 Why Guests Love It

We hear this from hosts constantly: the recap email is the most talked-about part of the event, and it arrives after the event is over.

Here's why it resonates:

  1. 🎈It's effortless. Guests don't have to hunt for photos. Everything lands in their inbox.
  2. 🎈It's personal. The AI narrative creates a story around the event data, mentioning highlights and milestones that actually happened.
  3. 🎈It's shareable. The recap page URL is a single link that contains everything. Drop it in the group chat and everyone has access.
  4. 🎈It extends the experience. The event doesn't just end when people leave. The recap gives everyone a reason to revisit and relive the night.

🎉 Host Tips for Better Recaps

A few things you can do to make your recaps even better:

Write a thank-you message. When you end the room, you get a text area to write a personal note. Something like "Thanks for making my birthday so special. Love you all!" goes a long way. It appears at the top of every recap email.

Enable AI moderation. If you want to make sure only appropriate content ends up in the recap, turn on AI moderation. The recap pulls from the filtered content, so nothing unexpected makes it into the highlight reel.

Upload your branding. Rooms with a custom logo and banner produce much more polished recap emails. The logo appears in the email header and the banner shows on the recap page.

Encourage photos during the event. The more photos your guests share, the better the recap. Use the cast view to display the live photo feed during the event, which naturally encourages more people to contribute.

🎉 Setting It Up

To enable auto-send recaps:

  1. 🎈Go to your room settings (either during creation or by editing an existing room)
  2. 🎈Toggle "Auto Send Recap" to on
  3. 🎈Optionally add a default thank-you message in the recap settings
  4. 🎈That's it. When the room closes, recaps go out automatically.

For manual sending, just click "End Room" and check the "Send event recap to participants now" box before confirming.

🎉 Available on All Plans

Event Recaps are available on every plan, including free rooms. The AI-generated narrative, branded emails, and dedicated recap pages all come standard. If you have a Pro or Premium plan, your branding (logo, colors, banner) will be reflected in the emails.

The recap page stays accessible as long as the room data exists, so guests can revisit it weeks or months later.

🎉 The Morning After

There's something special about waking up the morning after a great event and finding a recap email in your inbox. It's a curated collection of everything that happened, delivered without any effort on your part.

For hosts, it's the final touch that turns a one-time event into a lasting memory. For guests, it's proof that the night actually happened.
